EXCITING OPPORTUNITIES IN AN INTERNATIONAL OIL MARKETING COMPANY

Our client is a progressive oil marketing and distribution coompany. The imperatives of expansion necessitates the recruitment of :

 Office Manager
 Junior Accountant
 Accounts Officer
 Administrative Assistant


1. OFFICE MANAGER

The Office Manager is responsible for organizing and coordinating office operations and procedures in order to ensure organizational effectiveness and efficiency.
Key Responsibilities
The Key responsibility profile of the incumbent will include to:
• Design and implement office and operational policies
• Establish operational standards and procedures
• Organize office operations and procedures
• Supervise office staff
• Monitor and document office operations
• Give required direction to operations in the office
• Review and approve supply requisitions
• Liaise with other agencies, organizations and groups
• Update organizational memberships
• Maintain office equipment
• Maintain Office Efficiency
• Ensure appropriate documentation of all office transactions
• Manage all aspects of facilities and office services, client services, and records management (archiving and safe custody documents) nationally, including:
• Management and preparation of annual budgets
• Management of high level relationships with external suppliers
• Overall management of projects such as relocations and facilities upgrades
• Review and modernize the firm's existing approach to operations and safe custody document procedures in particular through improved technology
• Management of staff and productivity.
Qualifications & Experience
• Experience in Office management, Administration and project implementation in a legal professional services environment
• Project management experience
• Proven track record in legal, accounting or professional services environment is desirable
• Consulting experience is an added advantage.
Skills Profile

Suitable candidates will be between the age of 35 and 40, must be male, married, possess LLB, BL in Law plus upwards of 5 years cognate experience in managerial positions. He must be proficient in the use of computers.


2. JUNIOR ACCOUNTANT
The incumbent is expected to apply principles of accounting to analyze financial information and prepare financial reports by compiling information, preparing profit and loss statements, and utilizing appropriate accounting control procedures.
Primary Responsibilities
1. Prepare profit and loss statements and monthly closing and cost accounting reports.
2. Compile and analyze financial information to prepare entries to accounts, such as general ledger accounts, and document business transactions.
3. Establish, maintain, and coordinate the implementation of accounting and accounting control procedures.
4. Analyze and review budgets and expenditures for local, state, federal, and private funding, contracts, and grants.
5. Monitor and review accounting and related system reports for accuracy and completeness.
6. Prepare and review budget, revenue, expense, payroll entries, invoices, and other accounting documents.
7. Analyze revenue and expenditure trends and recommend appropriate budget levels, and ensure expenditure control.
8. Explain invoices and accounting policies to staff, vendors and clients.
9. Resolve accounting discrepancies.
10. Recommend, develop and maintain financial data bases, computer software systems and manual filing systems.
11. Supervise the input and handling of financial data and reports for the company's automated financial systems.
12. Interact with internal and external auditors in completing audits.
13. Other duties as may be assigned by the Senior Accountant.

Additional Responsibilities
1. Develop the annual operating budget and consult with departmental management on the fiscal aspects of program planning, salary recommendations, and other administrative actions.
2. Provide accounting policy orientation for new staff.

Knowledge and Skill Requirements
1. Knowledge of finance, accounting, budgeting, and cost control principles including Generally Accepted Accounting Principles. Knowledge of financial and accounting software applications. Knowledge of federal and state financial regulations. Ability to analyze financial data and prepare financial reports, statements and projections.
Suitably qualified candidates will possess a combination of a Bachelor's Degree in Accounting, at least two to three years of accounting experience. Candidates who are Chartered Accountants have added advantage. He must be proficient in the use of computers.


3. ACCOUNTS OFFICER

The incumbent is expected to assist in documenting financial information and prepare supporting financial documents by compiling information, preparing vouchers, and following established accounting procedures.

Primary Responsibilities

1. Prepare small bank reconciliation statements
2. Prepare vouchers
3. Do the filing for the unit
4. Update petty cash electronically
5. Issue payments
6. Prepare receipts
7. Update deposit analysis
8. Assisting in Budget Preparation
9. Assisting in the preparation of wages and salaries.
10. Ensuring that proper accounting procedures are followed and good records are kept
11. Any other related duties that may be assigned from time to time.


Suitable candidates will possess B.Sc./ HND in Accounting plus upwards of 2 years cognate experience. Candidates with an appreciable familiarity and understanding of the accounting documentations of the oil marketing Industry will be so appointed. He must be proficient in the use of computers.

We further understand that candidates for all positions must be well qualified, computer literate, effective, highly experienced, capable of working under pressure, as well as possess ability to perform assigned functions relating to oil marketing business.






4. ADMINISTRATIVE/OFFICE ASSISTANT

Office Assistants are required to perform a wide variety of office support duties related to the function and department assigned, which may include cleaning, reception, typing, photocopying, office messages handling, and filing.
Duties may include, but are not limited to, the following:

Perform general duties related to assigned functional area and department.
Perform a wide variety of work including cleaning, office message handling, and filing.

Suitable candidates must be neat, well spoken and be able to understand simple instructions. Holders of OND, very impressive GCE O/L and/or WASCE/SSCE/NECO will be considered.

5. DRIVER

The Driver will:
• Drive safely and responsibly at all times.
• Be knowledgeable about, and comply with all driving/traffic and parking rules and regulations.
• Never drive any of our clients’ vehicles when under the influence of alcohol.
• Maintain vehicle logbook, accounting for all mileage and fuel consumption/costs.
• Minimize fuel costs.


Vehicle Maintenance
• Maintain cleanliness of vehicles, including daily clean inside and clean outside.
• Maintain vehicles in good mechanical order and complete and submit weekly log sheets to support this.
• Report and arrange any repairs and replacements immediately to your superior
• Ensure that vehicles are secured from loss or damage at all times

Suitably qualified candidates will possess the Class E Professional Drivers License and be able to communicate well and efficiently.
Neat Drivers with at least 5 years safe driving experience will be so appointed.
