Job title:
Client Service Manager
Job Purpose:
To facilitate the efficient
functioning of client offices by
providing administrative and
business support
Responsibilities (Functions and
duties):
1. Respond to phone requests
and queries from clients and
prospective clients;
2. Attend to walk-in clients with
queries on Horizons Office’s
services;
3. Welcome and induct new
office tenants/clients;
4. Ensure client satisfaction to
agreed service standards;
5. Coordinate service delivery
between clients and other office
departments;
6. Delivery of agreed
housekeeping standards;
7. Monitor inventory levels of
office supplies on a regular basis
and ensuring that the re-order
process is done in a timely
manner;
8. Schedule internal office
meetings and client meeting
room bookings;
9. Manage Messenger Services for
clients;
10. Perform clerical duties,
including but not limited to:
photocopying, faxing, mailing
and filing;
11. Prepare client logs regarding
office and boardroom utilization;
and clerical facilities utilization
records;
12. Manage cordial relationship
between Horizons Office and
Suppliers;
13. Compile and Distribute
Member Bulletins/ Periodic
Newsletter by email / notice
board;
14. Supervise support staff.
Experience:
• Two (2) years customer service
experience in a busy working
environment;
• Prior experience in office
administration;
• Sales and marketing
experience in the service
industry.
Qualifications:
Academic:
• Higher Diploma in Customer
Service or related field;
Behavioural competencies
• Professional verbal and written
communication skills;
• Strong organizational skills and
the ability to prioritize and
manage multiple tasks;
• Excellent telephonic manner
and customer service ethos;
• Ability to build and maintain
strong relationships;
• Ability to work to tight
deadlines, and deliver accurate
quality work;
• Team building skills;
• Decision making skills;
• Effective verbal and listening
communications skills;
• Attention to detail and high
level of accuracy;
Knowledge of Microsoft Office.
