As a business owner, you must as a matter of urgency develop policies for your business activities, then create processes and procedures for each policy

There must be a policy guiding every business activities.

E.g
Policy: Inventory purchases and arrival policy.

Process: All goods purchased are counted and entered into the inventory software.

Procedures:
1. At arrival, the inventory manager in conjunction with other inventory staff count all the products.

2. The goods counted should be compared with the supplier invoice and the delivery note to ensure uniformity.

3. All confirmed goods are moved into their respective locations or warehouses.

4. The inventory manager is to record all the goods purchased into the inventory software in less than 24 hours

5. The Operations manager or (you) is to confirm the records done by the inventory manager in relation to suppliers invoice. This is to dictate any discrepancy.

6. New arrivals should not be sold until all records are done. In extreme cases where sales must be made from the new arrivals, approval must be gotten from the CEO and such sales should be properly recorded.

7. Confirming and recording of all purchases should not exceed 48 hours from the date of arrival from the supplier.

Note: this is just an example.

The point is, every activity of your business must have a policy guiding it. Such policy must be backed up with attainable process and procedures.

This must be communicated to all staff and sanctions for non compliance should be taken serious.
