Penguide is a privately-owned consultancy firm with particular focus on copyright and the entertainment industry. We have been involved in managing the business affairs of several A-list entertainers in Nigeria and South Africa.

We have an immediate opening for an Administrative and Social Media Officer in our Firm. This position will provide general administrative support and social media support to the Firm and its clients.

Position Summary:
Provide high level of executive assistance, support and administration to the Director, Business Affairs & Legal and the Firm’s external partners, generally.

Primary duties and responsibilities:
• Manages sensitive and confidential interactions between the Director of Business Affairs & Legal, his/her direct reports, as well as external partners, agents, etc.
• Screen solicited and unsolicited client development proposals and disseminate to appropriate parties for feedback and follow up.
• Manage full cycle process around contract approvals and execution, collaborating with the Director of Business Affairs (DBA).
• Acts as liaison and gatekeeper for the DBA, including but not limited to:
o Handles all scheduling, allocation of time and determining which meetings are essential to attend, with whom and when
o Screens calls for business significance and priority
o Review incoming mail to determine what needs to be addressed
o Assists with the prioritization of the executive’s daily activities and helps keep executive on track with meetings
• Answers phones, proactively screens calls and takes messages
• Coordinate meetings and ensures the necessary facilities and equipment are reserved
• Composes, proofreads and edits memos, letters and e-mails
• Performs data entry, copying, faxing, printing, binding, mail distribution and supply ordering
• Collects, tracks, and processes all invoices in a timely manner. Manage all payment issues directly with vendors, contractors and Accounts Payable department
• Directs resources and inquiries to various department/functional heads
• Acts as a key representative of the Firm to visitors and guests; plans and arranges logistics as required
• Creates and implements the social media strategy framework that will be applied to the Firm and its client’s social media program;
• Conducts competitive analysis studies on client competitiors
• Performs other duties as assigned.
Requirements and General Skills:

• Excellent written and verbal communication skills
• Ability to work independently and in a team environment
• Ability to project a professional image over the phone; commitment to customer service principles
• Ability to learn quickly and take initiative
• Ability to creatively solve problems and follow through on tasks, projects, etc.
• Superior spelling, grammar, proofreading and editing skills
• Comfortable working with confidential information and interacting with senior management, talent, artists and high profile individuals
• Excellent time management skills, with the ability to prioritize and multi-task in a fast paced and constantly changing work environment.
• Ability to work well in a fast-paced environment, and capable of working with sensitive, confidential, and legal information.
• Must have legal right to work in Nigeria.
Technical Skills:
• Thorough knowledge of MS-Office Suite (Word, Excel, PowerPoint, Access) is required to effectively manage/track contracts, budgets, invoices etc.
Educational Qualifications:
• The successful candidate will have a minimum of 1 year of related administrative experience (or have a Bachelor’s Degree/HND in any business-related or social science discipline). A media/social media marketing or accounting background will be added advantage.
• CVs must include names and contact details of 2 referees.
Remuneration/Incentives:
• Basic Salary – N20,000 – N25,000 per month
• 2- 4% of Firm’s fees on files handled directly.

Please I need a mini-flat size of an office space in a corporate or serene environment anywhere close to Ilupeju, Palmgroove (Ilupeju side), Surulere, Yaba or Ikeja. It is to be used for a consultancy firm so it should not be on a busy road or street.

No yet-to-be completed building, please.
