Job Responsibilities
• Provide a full range of reception services. Respond to requests for information from the public or employees by answering the phone, greeting the public, mailing program information, and making referrals.
• Update files, and maintain a variety of records such as addresses, telephone numbers, vacation schedules, attendance and timesheets, numerical logs, ledgers, and client files.
• Pick up, receive, open, date stamp and deliver mail and/or other materials.
• Type or produce reports or correspondence utilizing word processing, spreadsheet, and other business software.
• Receive, review, and compare documents, forms, or applications for completeness and accuracy.
• Review files, records, and other documents to obtain information to respond to requests.
• Assist with travel arrangements as necessary. Prepares and assembles large mail-outs of program materials.
• Assists prospective clients and co-workers by explaining steps, appropriate forms, procedures, and program requirements for transactions, services, and other program activities.
• Train other staff members to perform work activities, such as using computer applications, and also monitor and direct the work of lower-level clerks.
• Complete work schedules, manage calendars and arrange appointments as well as prepare meeting agendas, attend meetings, and record and transcribe minutes.

Necessary Skills and Experience
• Ability to work independently and perform clerical assignments with moderate direction.
• Ability to read, comprehend, explain, and apply written procedures.
• Working knowledge of business practices, correspondence and typing formats, including correct English grammar, spelling, and punctuation.
• Working knowledge of filing and record keeping systems.
• Ability to operate office equipment
• Ability to greet visitors, answer the phone and answer or refer incoming inquiries from the public.
• Working knowledge of MS Office Suite software and the use of computer systems.
• Ability to follow oral and written instructions.
• Minimum of High School Diploma.
• Certified Computer Training in MS-Word, MS Excel, and MS Outlook.
• Minimum of One (1) year of experience, (paid or volunteer) performing duties related to office or clerical support.

The real estate administrative assistant is a key role in the real estate business and is the first hire of any realtor who wishes to take their business to the next level. They also have duties related to property management and the marketing of vacant houses, apartments, condos and vacation homes.

GENERAL DUTIES

Like administrative assistants in other industries,
Real estate administrative assistants answer telephones and take messages.

Distribute incoming mail; operate scanners, facsimile machines and photocopiers.

Create documents, spreadsheets and presentations.

Complete expense reports and other accounting forms; and answer routine inquiries from clients, agents and brokers.

They also provide clerical support to agents and brokers during the sales process. This involves photocopying sales documents, scheduling closing dates and securing public information about a property.

Assist the Team Leader in any and every possible fashion to assist in building his or her business and achieving all stated goals while providing excellent client service.

Maintain and update the Team Leader's database daily, as per the Database Maintenance Checklist, to maximize repeat and referral business-

Implement all lead generation systems on a daily basis in order to maximize prospect leads consistent with the appropriate marketing checklist

Continue to build stronger relationships with all referral sources, past clients and future clients in order to maximize client satisfaction and customer satisfaction rating

Ensure all members of the team adhere to all requirements of the Regulatory Bodies at all time

SKILLS
Must have good communication skill

Excellent computer skill.

Ability to attend to clients

Ability to write effective business letters

QUALIFICATIONS
Must posses a Bsc in Estate management or any other related course. A Master degree will be an added advantage.
The candidate must posses a minimum of 5 to 10years working experience.

Real estate managers oversee the operational aspects of commercial and residential properties and are responsible for maintaining the premises and increasing their value. Some managers may provide services for multiple buildings or locations. Job duties associated with large properties can include training and supervising staff members and groundskeepers. Responsible for managing the financial aspects of a property or properties, Collects rent and ensures taxes, insurance, payroll, and maintenance bills are paid.

Job responsibilities

•Handle financial operations of the property.
•Collect rent.
•Send out notices if rent is delinquent.
•Prepare and maintain financial statements.
•Update owners on status of property.
•Inform owners about occupancy rates, expiration dates of leases, and other issues.
•Advise owners on how much to charge for rent.
•Monitor the performance of contractors.
•Investigate and resolve complaints from residents and tenants when services are not properly provided.
•Purchase supplies and equipment for properties.
•Hire contractors to make repairs.
•Supervise maintenance staff.
•Understand and comply with pertinent legislation,
•Plan and direct the purchase, sale, and development of real estate properties on behalf of businesses and investors.
•Consider factors such as property values, taxes, zoning, population growth, transportation, and traffic volume and patterns.
•Negotiate contracts for the purchase or lease of the property.
•Real estate managers must have excellent interpersonal and analytical skills, including the ability to communicate with owners, staff and tenants in an effective and efficient manner.
•Computer literacy, record keeping and strong leadership abilities are also required

QUALIFICATIONS:
Applicants should have a minimum of bachelor's degree in real estate, finance or business administration. Managers often receive on-the-job training, including how to operate and repair any machines or equipment located on the premises.
