I felt it's wise for me to report back to the house the outcome of the advise I got on the quoted thread.

After due consideration of the advise I got from the quoted thread, I resolved to write back to my ogas at the top but waited for December 2015 salary to be paid to see if the necessary adjustment will be made as stated in the circular. Luckily, this was done (staff who were over paid in November were debited while those that were under paid were credited accordingly).

With that in mind and acting on the advise I got, I put my pen on paper on 26th December 2015 appealing to them to use their good office and halt the surcharge since the necessary adjustment have been made via staff salaries. I also stated that I will be more careful in discharging my duties to avoid repeat of the subject matter.

Having submitted the letter, I waited patiently for their reply but this was never to be. January, February, March 2016, still no reply and the amount has been fully recovered from my hard earn money (salary) despite the appeal. At this point yours truly became pissed not just because of the surcharge but because my letter was ignored.

On 13th April, I paid a visit to the Accountant. After discussing with her on how displeased I am about the whole thing, she claimed ignorant of my letter of appeal and advised I write a reminder. This I did and did not forget to remind them that my mistake did not cause the company any financial lost and that I don't deserve the surcharge and their silence on my letter. Luckily to the glory of God I did not wait for 3 months before I got a reply on 22nd April asking me to see the Accountant for refund of my money. This I've collected since 1st May. cheesy cheesy

Am sure those accs are salary acc which the company opened for their staffs and hav full access to,wat happened to reversal of wrongly posted transactions which banks does on individuals let alone employees working wit d same firm,why cant ur firm wait til dec to debit/credit where necessary or those employees are no longer with the firm, sum firm and their rubbish..oga,settle dis issues tro litigations if u hav wat it takes,its unprofessional to pay for salary ur fellow staffs who are stil active in ur organisation receive wen the mistake can be corrected easily.Also begin luk for new job cos ur name is already in the black book and sooner or later u'l be sacked..

In accounting every credit entry most have a corresponding debit. So therefore were did the debit entry come from. Professionally no bank will make that mistake.thank you

I've been asked to bear the cost. I am not in finance dept neither am I in charge of preparing payroll. I am only responsible for sending duly completed soft copy passed to me to the bank.

Yes, cheque advice was sent to the bank. The cheque, advice n d schedule have the same figure. Only the soft copy was different.

It will surprise you to know that the bank involved is one of the leading banks in the country.

Your advise to reply their letter is duly noted. Thank you very much.

If you are responsible for preparing the payroll, this you can easily do right? More so I do not think you will have a lot of discrepancies for most of the staff.

Nobody left the company. crediting and debting staff December salary was what gave birth to the circular. Well, let me not disclosed more info than I have disclosed. Thanks for your time.

However, I must mention that the story looks so made-up and in a bid to even protect your identity, you were actually letting out unnecessary details.

The big question I will ask first is if the October and November salary figures were different, how was the bank able to post using amount on the cover of cheque taken there by your company?

Again, being an error discovered the same day, there is something called transaction reversal which banks' technology platforms allow.

The funniest part that made the story sound so made up, was the part where you attributed the reason for the error to be because October schedule was the last item in your sent folder. Oga, could it be that since sending mail in October, you did not send any other one for a month?

Revise your storry and send one with possible scenarios.

There is sense in your observations. Firstly, I am not an accountant and no where near one and I am not protecting my identity but my original moniker. I don't wanna be stalk should incase they see this post. If I was protecting my identity, I will not narrate this story words to words.

Yes, October was the last sent item on the folder because I used my phone to access the sent item in October and did not close the browser. Other correspondence have been sent and received and they were done and accessed through the system.


Yes, the errors was discovered in less than 4hours. Reversal would have been possible but am not sure they discussed that because they finally have an opportunity to victimise me.

Well, first I would not blame you, its not as if it has happened before. Secondly, you shouldn't have taken responsibility for a technological fault, it could have been anyone for pete's sake! Like someone has said, wait for the letter, then write an apology letter(both handwritten and mail) and forward to everyone concerned. This could cost you your job on a normal day. Next time, be extra extra extra extra careful. I wish you come out of this unscathed.

The responsibilties I acknowledged was for the EMBARRASSMENT my mistake caused the company.

Please if this is a joke stop the nonsense.. You made a very silly professional mistake..but all the same the management has no right to surcharge your account for any excess salary payment to the staff,what they can do is to inform the staff & deduct the difference in their next salary payment .. It is no big deal. Not a fraud but blatant human error. Please plead for leniency & advice as per this advise. Shalom.

It was a grave mistake you made, though nobody is above mistake. The management asking you to pay the differential is both legally and morally wrong. What they should have done is to give an instruction to the bank to restrict any form of withdrawal (by placing a no debit) on all staff accounts till the anomaly is corrected, with that everybody is fine. This is also the reason most banks also ask for hard copies of salary schedule before it is processed. Anyway, I wish you luck.

A circular was sent informing staff of the development immediately the error was discovered. In the circular, staff were told to expect credit or debit in their December salary.

Worst case scenario: You will loss your job and you have vindicated your organization by 'claiming responsibility' for that mix-up. Perfect excuse to excuse an arrogant staff. Except you are not known for errors and are loved by the power brokers.

Otherwise they are just threatening you, especially if you are the kind with padded shoulders. Thank your stars you didn't credit wrong accounts or double-pay your colleagues.

I opine that you honestly acknowledge your error and be a little more agreeable, especially with your superiors as your writing makes you cut across like an arrogant and pompous staff.

I am neither a lawyer nor an accountant but I manage dozens of people and I know errors happen. What happens next is usually your reactions after the error.

If really you mange people as stated in your last paragraph, I believe you don't allow your emotions to cloud your judgement. Meditate on that. Peace!
